Digital Signatures

The OnBase Digital Signatures module supports accountability in paperless review and approval processes by allowing users to sign and authorize virtually any OnBase document. Documents can be signed individually or in batches with a mouse-click and validated with a password. Digital Signatures leverage the security advantages of industry-standard X.509 digital certificates, such as those from VeriSign® and other certificate authorities.

The status of signed documents can be easily verified from within the OnBase interface. Users can view which documents have or haven't been signed simply by clicking on them to verify that the data on the signed document was not changed after signing.

Unsigned or modified documents can also be identified automatically using OnBase Workflow , triggering a corrective action, such as alerting the appropriate manager. Rules and actions for managing Digital Signatures have been integrated into the OnBase Workflow module to route documents through an approval life cycle to be signed or verified and sent through the appropriate processes.

Application

organisations with significant accountability requirements can benefit from the additional level of validation provided by Digital Signatures. In an accounts payable (AP) application, for instance, managers are often required to approve purchase orders and invoices. If internal policies require that invoices above $50,000 must be signed by the CFO, unsigned invoices that meet the criteria could be automatically routed to the CFO for immediate action. This would prevent non-compliant invoices from posting and make it easier for auditors to verify compliance.

Digital signatures are suitable for countless other approval processes, such as loan applications, quality assurance initiatives, employee hiring, medical record review, insurance underwriting or claims and municipal permitting applications.
