Imaging and Capture Modules

Imaging and Capture modules are the fundamental basis for the OnBase enterprise content management (ECM) system. These methods of entering documents and images into OnBase are sophisticated mechanisms that optimize speed and accuracy while requiring minimal user intervention.

An integral part of virtually every OnBase implementation,  Document Imaging and capture enables paper-centric documents as well as documents in electronic format to be stored in a central repository to:

  • Reduce storage costs by reducing or eliminating paper documents
  • Centralize storage and archiving of documents from virtually any source to ensure consistent management and retention policies are followed
  • Decrease retrieval costs with rapid searches and indexing
  • Increases employee productivity by providing fast, easy access to information
  • Provide long-term, easily accessible storage for multiple simultaneous users

Whether acquired through a centralized scanning environment using Production Document Imaging, a distributed environment using Desktop Document Imaging or remote locations using  Disconnected Scanning or Front Office Scanning , fax, e-mail , Virtual Print Driver or third-party integration with applications such as  AutoStoreT or eCopy ShareScan ®, OnBase can import virtually any type of file or document. Highly scalable, OnBase can support billions of documents, and an OnBase Document Imaging license allows a user to scan an unlimited number of documents.

A fully integrated hardware and software solution, the OnBase Integration for the Fujitsu fi-6000NS , is an easy-to-use standalone unit that is shipped preconfigured to receive documents from branch offices, remote locations or business partners. Automated indexing and image quality tools are included in this centrally administered network scanner.

Documents can then be automatically indexed using a variety of methods, including AutoFill Keyword Sets, Application Enabler  integration and use of standard or 2-D bar codes . Bar codes can also be generated out of OnBase. Remote users can index documents via the OnBase Web Client or through an application developed using the Custom Web Indexing Platform .

Any image imported into OnBase can also be converted into a text rendition with Optical Character Rendition (OCR) for full-text searching. As with the other Imaging and Capture modules, these modules are advanced, functional imaging and capture techniques, yet they are intuitive and users often need very little training. In addition, OnBase supports recognition and forms processing applications offered by our third-party technology partners .
